Frequently asked questions
What companies ask before they start.
Before you start
What part of my obligation does this cover?
Everything from your suppliers' plots to the filed statement: collecting the plots, the evidence that each is deforestation-free, the questions for your suppliers and their answers, your conclusion on each plot, and your statement filed to TRACES.
Do I need this for goods from a low-risk country?
A low-risk origin allows simplified due diligence, if every commodity in the goods comes from low-risk countries and nothing points to mixing or circumvention: no risk assessment or mitigation unless something points to a risk. The Regulation still asks for every plot's geolocation and for adequately conclusive and verifiable information that the goods are deforestation-free (Article 9), and information pointing to a risk, such as a report or an alert about a plot, brings back full due diligence.
How much work is it for us?
Asking your suppliers for their plots, from the app; reading the results; recording your conclusion where a plot needed your supplier's evidence; approving your statement. We set up your account, and there is nothing to install.
What does it cost?
It is priced by the plot you assess. Tell us your volumes, and we will send you a quote.
How do we start?
Write to us at sales@panspectra.com with what you import and from where, and we will set up your account.
Your suppliers
What if our suppliers have not mapped their plots?
They can send what they have: a spreadsheet of coordinates, a file from a mapping app, or a track walked round the farm. Each mistake is pointed out before anything is assessed, and an outline is better than a point wherever they can give one.
Do our suppliers pay or install anything?
No. They sign in with their email address, read everything in their language, and answer from a phone or a computer. What they write is saved as they go.
Our suppliers sell to other buyers too. Do they answer each one?
Once. The same answer can go to their other buyers who ask about the same land, and no buyer sees another.
Can a supplier answer on paper?
Yes. The questions come as a PDF and a spreadsheet too, and whatever reaches you by email or phone can be added to the plot.
The evidence
Which satellites?
Sentinel-2, from the EU's Copernicus programme: every clear picture of a plot that held forest at the end of 2020, from the years before the cut-off to the most recent.
What about clouds?
Clouds, haze and shadows are set aside picture by picture. Where the satellites could not see the ground clearly, your supplier is asked about it.
What is the smallest clearing you report?
Every report states it, with the period it covers.
Does it work for cocoa and coffee grown under trees?
Yes. A clearing among shade trees is found like any other, and where a farm under trees looks like forest from space, your supplier is asked whether it was forest at the end of 2020.
Are plantations forest?
No. Oil palm, rubber and other agricultural plantations are farmland under the Regulation and the Commission's guidance: replanting one that stood at the cut-off is not deforestation. Where a plantation looks like forest from space, your supplier is asked when it was planted.
Do you tell us what the land is used for now?
The pictures show where tree cover was lost. What the land is used for now, your supplier shows, and the questions ask them.
Do you assess legality?
No. Legality in the country of production is the Regulation's second condition, and satellite pictures cannot show it. It stays your own assessment.
Do you cover wood?
No. Wood must also be free of forest degradation, which needs evidence of another kind.
Do you trace our shipments to their plots?
You tell us which plots supplied a shipment. We assess them, and your statement links your goods to them.
What if we think a result is wrong?
Tell us why. A corrected outline is assessed again; if the pictures show something else, we look again, and a report we got wrong is replaced at no charge. The replaced report's code then says which report replaced it.
Filing and your data
Do you file the statement for us?
If you choose. Connect your TRACES operator once, and each statement a person of your company approves is sent to TRACES for your operator, its reference number coming back to you. You stay the operator: we file as a technical service. Or file by hand, with the files we give.
Can we connect our own systems?
Talk to us.
Can we share a report?
Yes, with your customers, your auditors or a competent authority. Its code lets them check that it is ours, unaltered, and still current.
Where are our plots kept?
In the European Union, with their results and reports.
Can we take our data with us?
Yes. Everything you hold with us exports at any time: plots, reports, your suppliers' answers, your conclusions and your statements.
Is this legal advice?
No. Our reports are evidence for your due diligence: not a due diligence statement, a compliance certificate or a legality opinion.
