How it works
Six steps, from your suppliers' plots to a filed statement. Most plots go from step 2 straight to filing.
- Collect Plots from your suppliers Your supplier
- Assess Every clear picture since 2020 Panspectra
- Ask Questions for your supplier Panspectra
- Answer With photos and documents Your supplier
- Decide Your conclusion on each plot You
- File Your statement, to TRACES You
1. Collect your plots
- Straight from your suppliers. Getting plots out of suppliers is where most importers get stuck. Ask from the app: each supplier gets an email in their language, under your company's name, and we remind them after a week and again after two until the plots arrive. You see who was asked, when, and whether our email reached them.
- From their own list. Your supplier signs in with their email address and sends the plots they tick from their own list. They upload it once, from any common file, even a track walked round the farm, and can send it to every buyer who asks.
- Or from your own files: a spreadsheet, GeoJSON, KML or a zipped Shapefile. Our Excel template is the quickest.
- Checked before anything is assessed. A plot over 4 hectares given as a point (cattle aside), coordinates cut short, a plot given twice or overlapping another: each is pointed out on its row. Where a mistake can be fixed, such as latitude and longitude swapped, we show the fix on the map and make it once you confirm it.
- Outlines where you can. A point is read as a circle of the plot's declared area, and a circle can take in a neighbour's clearing, or miss one on the plot itself.
2. Assess, with our own detection
- Every clear picture. For every plot that held forest at the end of 2020, we read its Sentinel-2 satellite pictures from the years before the cut-off to the most recent, not just two, with clouds, haze and shadows set aside.
- Our own models. Machine-learning models, trained in the regions where these commodities are grown, tell the loss of forest apart from seasonal, weather-driven and other passing change.
- Dated events. Each loss is grouped into a dated event, with its outline and area.
- Nothing assumed. Where the satellites could not see the ground clearly, your supplier is asked about it.
- Open to an inspector. Each report describes the method in plain words, and its documentation is available to competent authorities on request.
Send plots to be assessed when you choose. Each shows its result as soon as it is ready, read to its latest pictures. A plot that cannot be assessed as sent comes back “Not assessed”, with the correction to ask your supplier for.
3. Ask, only where needed
Only for a plot our detection cannot settle on its own. Most plots come back “No deforestation found” and go straight into your statement, with nothing to ask. A plot comes back “Supplier evidence needed” when a change was found in its forest since the 2020 cut-off, or part of it could not be seen clearly, and only then is your supplier asked.
- Specific questions. Where the pictures show tree cover was lost, we give you specific questions to ask your supplier, directly through our platform or on your own, each with examples of the evidence that would answer it. For example:
- Was it forest at the end of 2020? A planting year from farm records, or a cooperative or certification record from before 2021.
- What happened to the cleared ground, and has it been farmed since? Regrowth with no farming, or a use other than farming, such as a road.
- One request per supplier, covering all their plots that need an answer. We email it in their language (English, French, Spanish, Portuguese, Indonesian or Vietnamese) under your company's name, with replies going to you. Or share the link yourself, by WhatsApp or your own email, or print the questions.
- Less chasing. We remind your supplier after a week and again after two, unless they have answered. You see which suppliers you are still waiting for, and you are told when an answer comes in.
4. Your supplier answers
- Your supplier signs in with their email address: no password, no account to set up, nothing to pay.
- They see each plot's pictures and what was found, and answer in their own words, with photos and documents. You see a photo's own date and place on the plot's map.
- They answer once: the same answer can go to their other buyers who ask about the same land, and no buyer sees another.
5. Decide
- Everything on one page. The plot's pictures, the questions asked, your supplier's answers, and anything else you add, such as an email or a note of a call.
- Your conclusion, as the Regulation requires. Negligible risk or non-negligible risk, with your reason and the evidence it rests on. The final decision always rests with you.
- Decided once. Negligible risk puts the plot into your statement, and your conclusion carries forward to the plot's next assessment unless something new is found.
- A result that looks wrong? Tell us why. A corrected outline is assessed again; if the pictures show something else, we look again, and a report we got wrong is replaced at no charge.
6. File
- From your goods. Each line's customs code, description and quantity, and the plots behind it. Each plot's readiness is shown, a quantity more than its plots could grow is pointed out, and goods too large for one statement are divided within the Information System's limits.
- Straight to TRACES. Connect your operator once, approve the statement, and we send it to TRACES for your operator. Its reference number comes back to the statement, ready for the customs declaration, and you can amend or withdraw it from the same page within the 72 hours TRACES allows.
- Or by hand, with the files we give.
- Afterwards, a sheet for your customs broker, and the reference numbers to pass on to your own customers.
One home for the evidence
Every plot keeps its whole record in one place, for the five years you must keep it: each report with its pictures and its code, the questions asked and the answers that came back, whatever you added, your conclusion with who made it and when, and the statements it went into. The reports behind a statement download together for an inspector, and everything you hold with us can be exported at any time.
